Ensuring a Safe, Functional, and Sustainable Campus
At Horizon College of Engineering, we are committed to maintaining a clean, secure, and efficient environment that supports quality education and student well-being. Our Maintenance Policy outlines the procedures, responsibilities, and standards for the upkeep of all physical and digital infrastructure on campus.
This policy ensures that all academic, residential, administrative, and recreational facilities remain in optimal working condition and are regularly improved to meet evolving needs.
Objectives of the Maintenance Policy:
- To ensure uninterrupted academic operations by maintaining infrastructure and facilities efficiently
- To promote safety, hygiene, and sustainability across the campus
- To establish a transparent and accountable system for reporting and addressing maintenance issues
- To prolong the life of institutional assets through regular upkeep and preventive maintenance
Scope of the Policy:
- Academic Facilities:
Classrooms, laboratories, libraries, seminar halls, smart boards, projectors, and furniture - Campus Infrastructure:
Buildings, roads, water supply systems, electrical installations, fire safety systems - IT & Digital Systems:
Computers, servers, Wi-Fi networks, LMS/ERP platforms, and software tools - Hostels & Residential Facilities:
Rooms, dining areas, washrooms, power backup, and recreational spaces - Green & Clean Campus:
Landscaping, waste management, rainwater harvesting, and sanitation
Maintenance Activities:
- Routine Maintenance:
Daily and weekly upkeep of classrooms, restrooms, and equipment - Preventive Maintenance:
Scheduled checks of machinery, lab equipment, electrical systems, and IT resources - Corrective Maintenance:
Immediate action taken on reported breakdowns or damage - Annual Maintenance Contracts (AMC):
For specialized services such as lifts, fire extinguishers, biometric systems, air conditioners, and lab instruments
Roles & Responsibilities:
- Maintenance Committee:
Oversees implementation and audits of the maintenance schedule - Department Heads:
Responsible for reporting issues in labs and classrooms - Administrative Officer:
Coordinates with vendors, staff, and service providers - Students & Staff:
Expected to report issues promptly through the Helpdesk or ERP portal
Reporting and Resolution:
- All maintenance issues can be reported via the Maintenance Request Form on the ERP portal or directly to the Maintenance Office.
- Issues are prioritized and resolved within specified turnaround times based on urgency and impact.
